User Guide

New to NOVAI? Start Here

Welcome to NOVAI. This section walks you through your first steps.

Step 1 — Log in

Go to ops.novai.sg and enter your email address. You will receive a magic link. Click it to access the platform. Your login is invite-only — contact Steven if you have not received an invite.

Step 2 — Check your profile

Go to HR → My Profile to confirm your name, role, and start date are correct. Contact Steven if anything needs updating.

Step 3 — Review your access

Your role determines what you can see. If you need access to a module that is not visible, contact Steven at stevenseet@ewhiz.ai.

Step 4 — Submit your first claim

If you have any expenses to claim, go to Claims → Submit Claim. Attach a receipt where possible. Steven will review and approve.

Step 5 — Explore BD

Go to BD to see the pipeline. Use the Research button on any contact to ask Zara for a prospect brief. Use the Enrich button to find the right decision-maker at a company.

What is NOVAI Ops?

NOVAI Ops is the internal operations platform for NOVAI Pte Ltd. It gives the team access to BD pipeline management, expense claims, HR records, and platform monitoring — all in one place. Access is invite-only.

Your Role

Your role determines what you can see and do. There are three roles:

  • Contributor — submit claims, request leave, manage your own BD contacts
  • Approver — everything a Contributor can do, plus approve claims and leave requests
  • Owner — full access including Admin, HR staff directory, Sentinel, and user management

BD Pipeline

The BD pipeline tracks all business development contacts across eight funnel stages: Potential, Contacted, Engaged, Qualified, Proposal, LOI Signed, Event Confirmed, and Cold.

  • Add new contacts using the Add Contact button
  • Use the Research button on any contact to ask Zara — NOVAI's BD Agent — for a prospect brief, talking points, and a draft outreach message
  • Use the Enrich button to find the right decision-maker at a company via Apollo
  • Save a draft message using Save Draft — it stays attached to the contact record
  • Send the message from your own email, then click Mark as Sent in the app
  • All outreach is logged in the Outreach Log tab so the team has full visibility

Chat with Zara

Zara is NOVAI's AI BD Agent, accessible from the left sidebar. She has three modes:

Open chat

Ask Zara anything about BD strategy, objection handling, or market positioning. Type freely or use the prompt library shortcuts at the bottom of the screen.

Contact Enrichment

Type "Enrich [Name] at [Company]" and Zara returns a full dossier: person background, company profile, NOVA fit score (1–10), suggested angle, and a ready-to-use subject line.

Market Mapping

Type "Market map [Country]" and Zara returns a ranked distribution target table for that market, with competitive landscape, wedge strategy, and recommended first contact.

All conversations are saved and visible to the team. No approval needed — you own your outreach.

Claims

  • Submit an expense claim under Claims → Submit Claim
  • Fill in category, amount in SGD, date, and description
  • Your claim appears in My Claims with status: Pending
  • An Approver or Owner reviews and approves
  • Once paid, status updates to Paid

HR

  • View your own profile under HR → My Profile
  • Submit a leave request under HR → Request Leave
  • Track your leave history under HR → My Leaves

Sentinel — Platform Health Monitor

Sentinel is NOVAI's platform monitoring system. It watches app.novai.sg continuously across six layers — Hosting, Database, Authentication, DNS, RC Scoring Engine, and Application — and alerts Steven automatically if anything fails.

As a team member you do not need to interact with Sentinel directly. If you notice something wrong with app.novai.sg, contact Steven immediately at stevenseet@ewhiz.ai — do not wait for Sentinel to catch it. If the platform goes down during an event, Sentinel detects it automatically and activates a backup system within 90 seconds. The Sentinel dashboard is visible to Steven only.

Important Rules

  • You are responsible for all outreach sent from your email
  • Never send on behalf of NOVAI without reviewing Zara's draft carefully
  • Never share your login credentials
  • If anything looks wrong, contact Steven immediately
